CopyMyBooks

A developer asked to copy your books

Someone building software for QuickBooks sent you a CopyMyBooks link. Here's what approving it means, what you control, and how to stop it at any time.

Your company is only read
CopyMyBooks never changes anything in it. The copy goes into the developer's own test company.
You choose what to hide
Names, contact details, real email addresses, notes and attachments. The developer can't turn your choices off.
Deleted within 24 hours
Your books are kept encrypted for 60 minutes after a copy, never more than 24 hours, then deleted (backups, kept a few days, expire on their own).
Stop any time
In QuickBooks: Apps, then My apps, then disconnect CopyMyBooks.

What happens when you approve

  1. You open the link

It shows who asked: the developer's name and email address. Only an admin of the company can approve: the owner, or a bookkeeper with admin rights. You don't need a CopyMyBooks account. A link works once and expires after 7 days.

  2. You choose what every copy must hide

Each of these applies to every copy the developer makes:

    • Disguise people. Customers, vendors and employees get consistent made-up names, phone numbers and addresses.
    • Make email addresses undeliverable. Test companies can really send email, so this keeps a test from ever reaching your customers.
    • Leave out free text and files. Notes and memos, messages to customers, line descriptions, custom fields and attachments aren't copied.

Disguising works on fields named as such. Other free text and files aren't searched, which is why leaving them out is a separate choice. Descriptions on your products and services list are still copied.

  3. You approve on Intuit's own screen

You sign in to QuickBooks at Intuit, not on our site, and allow CopyMyBooks to connect. Intuit's screen doesn't offer a read-only choice, so the permission it shows is broader than what we do: CopyMyBooks only reads.

  4. The developer makes copies

Copies go only into the developer's sandboxes: test companies in their Intuit developer account. Lists and transactions are copied; your company settings aren't.

Questions

Is CopyMyBooks part of Intuit?

No. It's an independent app that connects through Intuit's standard approval, the same way every QuickBooks Online app does. It isn't affiliated with or endorsed by Intuit.

I don't recognise the person who sent the link.

Then don't approve it. Nothing happens unless you approve. If you think a link was sent to you by mistake or to mislead you, email dev@copymybooks.com.

Can I change my choices later?

Changing what's hidden takes a new approval by an admin of the company. The developer can't loosen your choices on their own.

Who is responsible for the copy?

Once a copy is in the developer's test company, the developer is. Our terms let them use copies only to build and test software.
